Location & Layout
• Physical Address: 19310 E. 50th Terrace, Independence, MO 64055
• Studio B (Suite L): The very first studio on your immediate right at the top of the stairs (look for our logo!).
• Studio A & Front Desk (Suite N): Located further down the hall on the second floor.
Arrival & Parent Portal Check-In
• DanceStudio-Pro App Required: All students must be checked in via the DanceStudio-Pro app or by visiting www.icestudiosdance.org and clicking Parent Portal.
• Timing: Students should arrive 5 to 10 minutes before class. Please check them in during this window so staff knows they are on their way up.
• Classroom Boundaries: Dancers must wait in the waiting area. Please do not enter the classrooms early without a teacher's permission.
• Ages 10 and Under: Must be escorted by a parent to the 1st-level entrance door, then sent upstairs to the waiting area. (Note: Security cameras monitor the downstairs entrance at all times).
• Ages 11 and Older: May walk up to class independently with parental permission, but must head straight to the studio.
Dismissal & Check-Out Process
• Ages 10 and Under Pick-Up: Parents must arrive 5 minutes before class ends. Teachers will escort these students downstairs to ensure they safely reach their vehicles.
• Late Pick-Up: If a parent is not present at dismissal, the student will be brought back upstairs to wait safely.
• Independent Leave: Please coordinate directly with your older students so they know to head straight to your vehicle. When available, volunteers will help escort students to cars.
Attendance & Communication
• Punctuality: Arrive at least 5 minutes prior to class start time.
• Absences: Report all absences ahead of time through the Parent Portal.
• Roster Policy: A no-show, no-call for 4 consecutive weeks will result in automatic removal from the roster. Withdrawals must be submitted in writing.
• Stay Updated: Please check your email, text messages, and our updates site daily. 95% of our notices are sent via email, and ICE STUDIOS is not responsible for unread updates.

Proper attire ensures safety and discipline. All students must follow the guidelines:
• 1. Proper Dancewear: Class-specific attire only. Absolutely no jeans.
• 2. Proper Footwear: Correct shoes for each style (ballet slippers, jazz shoes, tap shoes, hip-hop sneakers, etc.).
• Warning Policy: Dancers receive a warning each time they are out of dress code. After the third warning, they will not be permitted to participate until they are in proper attire.
Safety, Restrooms & Cleanliness
• Label Everything: Write your student's name on all bags, water bottles, and shoes. ICE STUDIOS is not responsible for lost items if they are unlabeled.
• Food & Drink: NO food allowed in the studio spaces. Water bottles only. Any bottles left behind for more than 2 weeks will be discarded.
• No Roaming: Students are strictly prohibited from wandering the building without an adult. ICE STUDIOS is not liable for students who breach this rule, and parents will be notified immediately.
• Restroom Policies: Dancers should use the restroom before class.
• Upstairs Restroom: The upstairs restroom (Studio A) is reserved for girls and ladies only during active sessions.
• Boys Restroom Accommodations: If a boy needs to use the upstairs restroom, staff will ensure it is clear of female students first. • Lower Level Restroom: Parents and gentlemen are welcome to utilize the restrooms located on the lower level. • Facility Care: Help us respect our new space by keeping all restrooms clean!
Bathroom Etiquette & Property Damage Policy
We take pride in maintaining a clean, safe, and hygienic environment for all our dancers. Parents are expected to partner with the studio by teaching their children proper bathroom etiquette.

Proper Usage: Students must be taught to always flush the toilet after use and to place only toilet paper in the toilet. Absolutely no paper towels, wet wipes, feminine products, trash, or other objects may be flushed.

Property Damage: Parents will be held fully financially responsible for any damage caused to the studio plumbing or facilities due to improper use.

Vandalism & Destruction: Writing on the bathroom walls, breaking fixtures, or destroying any studio property is strictly prohibited. If a student is found defacing or damaging any part of the studio, the parents will be billed for the full cost of repairs, deep cleaning, or property replacement, and the student may face suspension or dismissal from the studio.
Parent Code of Conduct
• Classroom Boundaries: Parents, friends, and siblings are not allowed inside the classrooms during instruction.
• Cell Phones: Cell phones are prohibited for students during class.
• Phone Calls: Please take all personal phone calls in the upstairs waiting area or completely outside.
• Professionalism: Respect all staff and classroom boundaries. Vulgar language or behavior will not be tolerated. ICE STUDIOS reserves the right to refuse service.
Tuition, Communication, & Financial Accountability
As a member of our studio family, timely tuition and clear communication are vital to keeping our programs running smoothly.

Late Fees & Communication: Tuition and fees are due according to the official studio schedule. If you are experiencing an unexpected financial hardship, you must contact the administration immediately. Payment arrangements are available upon request, but they must be established before fees become overdue.

Non-Payment & Forfeiture of Spot: If account fees remain unpaid for two (2) consecutive weeks without any prior written communication or agreed-upon payment arrangement, the studio reserves the right to automatically drop the student from all classes and refuse service.

Prior Balances: Any outstanding balances or unpaid fees from previous dance years must be paid in full before a student can register or start classes for a new season.
DanceStudio-Pro Auto-Pay & Tuition Policy
To streamline our billing process and ensure families never have to worry about missing a payment or incurring late fees, ICE Studios utilizes the secure DanceStudio-Pro (DSP) tuition management system.

Mandatory Card on File: All enrolled families are required to maintain a valid, up-to-date credit card or debit card on file within their DanceStudio-Pro Parent Portal.

Fall & Spring Tuition Schedule: For our regular Fall and Spring seasons, tuition is automatically processed on the 1st of each month.

Summer Class Session: Summer classes operate on a one-time fee structure. This full tuition amount is charged and processed via Auto-Pay at the time of summer registration to secure the student's spot.

Late Fees: If a payment is declined or cannot be processed on the 1st of the month, a $10 late fee will automatically be added to your DanceStudio-Pro account.

Additional Studio Fees: By enrolling, you authorize ICE Studios to automatically charge scheduled, studio-wide fees—such as registration fees, costume deposits, and recital fees—to your card on file on their respective due dates. Advance notice of these dates and amounts will always be provided.

Updating Your Account: It is the parent’s responsibility to log into the DSP Parent Portal and update card information before the 1st of the month if a card expires, is lost, or changes.
Official Withdrawal Policy

Written Notice Required: If you decide to drop a student from the studio, verbal notification to an instructor or a text message is not sufficient. Parents must provide a formal written withdrawal letter via email to the studio administration.

Outstanding Balances: Upon withdrawal, the parent remains fully responsible for paying any and all remaining fees accumulated up to the date the written notice is received.
